This week, pay attention to every annoying task in your business. Write them down. Some of them are probably processes. Some are probably automatable. And some shouldn't exist at all.
Before adding another feature, ask: Does this: save time? make money? reduce mistakes? improve the customer experience? If not, why are we building it?
Track one number this week that most businesses ignore: Average time from first call to first human response. That single metric usually explains more lost revenue than any other.
One lesson I've learned building software: The hard part isn't making something work once. The hard part is making it work 100 times without you.
The best business technology is usually invisible. The customer shouldn't notice your automation. They should notice that everything works.
A customer doesn't care how sophisticated your technology is. They care about: “Did someone answer?” “Did they understand me?” “Did they help me?”
The goal of automation is not fewer people. It is fewer interruptions for the people who actually close jobs and do the work.
If you run a service business, track these 5 numbers: Calls Answer rate Qualified leads Appointments Revenue What gets measured gets improved.
Automation shouldn't remove the human. It should make sure the human spends time on the conversations that actually matter.
Small businesses don't need 50 pieces of software. They need a few systems that actually talk to each other.
Customers remember two things: How easy it was to reach you. How clear the next step was. Make both effortless.
The best AI workflows don't feel like AI. They feel like: “That was easy.”
One of my favorite automation questions: “What happens after this?” Every time a process ends, ask it again. That's how you find hidden manual work.
A good receptionist doesn't just answer: “How can I help?” They collect the information the next person needs. That's what makes the conversation useful.
Your competitors are not better than you. They are just faster at responding. That is often the only difference.
Before you buy another tool, fix the handoff. If the person who answers the call cannot pass clean information to the technician, the software will not save you.
Home-service businesses are interesting because the phone is still a major part of the sale. The customer often isn't looking for a website. They're looking for a human who can help.
Don't automate a broken process. First make the process simple. Then automate it. Otherwise you just create a faster version of the mess.
Speed matters more than most businesses think. A lead contacted in 2 minutes is very different from a lead contacted tomorrow. Response time is part of the product.
A useful business rule: If a task happens every day, write down the process. Then ask: “Could software handle this?”
